From paper records to full compliance in a week

Apex Scaffolding was running 15–20 active scaffolds across the Greater Manchester area. Their director, James, was managing the 7-day inspection cycle the way most companies do — a spreadsheet, a WhatsApp group, and a stack of paper records that lived in a site van.

The inspections were happening. That wasn't the problem. The problem was proving it. When an inspector finished a scaffold check, they'd text a photo of a paper form to James, who'd then manually type it up into a Word template and email it to the client. That process took 30–45 minutes per certificate — time James was spending on Sunday evenings.

Then one Monday morning, a client called about a scaffold that had been up for 10 days with no certificate on file. The inspection had happened — but the photo never made it out of the inspector's camera roll. Nothing had been missed on site. But on paper, they had no record.
